MEDITRAIN Success Stories
Data Conversions/Automated MPI Merge
Peace Health Region and Keeweetinok Lakes Regional Health Authority #15 (110 Beds), two organizations in Alberta, Canada had similar IS Projects and were looking for a consulting firm with MEDITECH expertise to assist them. Both hospitals wanted to transfer patient data from an older CHIIS Database into their MEDITECH Systems. Both hospitals also wanted merges performed on duplicates in their respective Master Patient Indexes (MPI).
With a timely, competitive quote and decades of proven MEDITECH experience across the continent, MEDITRAIN was contracted for the service. After a series of teleconference with the principal parties, a step-by-step process was mapped out:
Data Conversion
Phase 1: Fast Input (patient data prior to full registration)
In phase 1, patient unit number, name, sex and birth date were added for each site. Keeweetinok had approximately 17000 patients while Peace Health had approximately 19000.
Phase 2: Full Patient Registration
In this phase MEDITRAIN carried out complete registrations for each patient, including Demographics, Physicians and Insurance information. Information was contained on a number of different pages (i.e. The script had to be written to move around a number of registration screens.
Phase 3: Attach Immunization Records
Assigned each patient's immunization records with their unit numbers. On average there were about 6 or 7 records for each patient. Taking into account the number of patients in both sites there were anywhere from 200,000-250,000 entries. Also required the manipulation of a number of screens.
Phase 4: Sign Out Patients
Once patients were entered and all merging was complete, all 35000 patients had to be given a special .ACTIVE status.
MPI Merge
The MEDITRAIN Automated MPI Merge was completed between phases 3 and 4. MEDITRAIN technical staff then created custom NPR Reports to each sites specifications, selecting patient according to the exact criteria provided by hospital staff. All newly entered patients were merged to any existing records. Most did have duplicates somewhere in their system as the automated Merge ended with approximately 35000 merges.
The MEDITRAIN Project Lead and Programming Team remained in constant communication with staff at both hospitals to ensure patients selected for merging were acceptable. Indeed regular contact was made throughout the whole project to ensure accurate, timely and professional results.
